About the Role



Provides support to Lending Department by performing the overall supervision of the Loan Support Department as described below.   Loan Support Department is responsible for working in conjunction with the other lending, accounting and operations staff to complete the following: 1) The documentation, funding and boarding of all loan transactions, 2) Servicing the loan transactions after origination and 3) Generating reports and providing other necessary information as requested by management, auditors and other departments and agencies as instructed.




Administrative Duties:

  •  Supervision of the daily activities of the Loan Coordinators
  • Organization and maintenance of the loan files in compliance with Glacier Bank/Division procedures
  • Review of Loan Coordinators daily work and insuring that “call-back” of other department member daily work is completed per internal control guidance and follows GBCI SOX control guidelines
  • Preparation of reports for management, auditors (internal and external) and other agencies (SBA, USDA, FHLB) which reporting is required
  • Maintenance of tickler lists and post-closing exception follow up items in compliance with specific loan conditions (Document exception report)
  • Maintenance of other tickler lists maintained on the core system (ITI Ticker System)
  • Daily balancing of suspense, non-post, loans in process, appraisal fees and other GL accounts as assigned
  • Participation and government guarantee servicing and reporting (SBA, USDA)
  • Administer borrower escrow accounts including payment of property taxes and insurance as applicable
  • Administration and maintenance of documentation software (D+H Laserpro)
  • Administration of system for UCC-1 filing, continuance and termination, including entity monitoring via third party service (CT Lien and Nevada Secretary of State)
  • Administrator of property tax service contract and monitoring via third party service (Nationwide)

Document Preparation (Loan Coordinator and Loan Support)

  • Reviews and consults with Loan Officers to accurately complete the document request form
  • Reviews Loan Authorization to verify loan was properly approved and being documented according to the loan approval
  • Accurately inputs and prints loan documents for new loans and renewals using the loan documentation system (Laser Pro)
  • Creates and organizes loan file documents in accordance with procedure for loan type
  • Images certain loan documents as required
  • Prepares escrow instructions to title company after document preparation
  • Sends documents to title company as required
  • Coordinates loan closings with Title Company and/or UCC-1 lien filing company in order to perfect bank’s security interest
  • Prepares funding check or wire instructions to appropriate entity in order to close loan

Booking Loans (Loan Coordinator and Loan Support):

  • Inputs new and maintains existing loan information for all loans in the core operating loan system including collateral and insurance modules
  • Accurately sets up ticklers on the tickler management system (CASH Tracker)

 Document Follow Up (Loan Coordinator and Loan Support):

  • Documents any pending items in tickler systems as applicable
  • Obtains follow up items such as recorded Deeds of Trust, title policies, titles and other post-closing conditions as specified from the appropriate sources after loan has closed
  • Complete bank and BVS training courses as assigned

About You


  • Associate’s degree or equivalent from two-year college or technical school or five years to ten years related experience and/or training; or equivalent combination of education and experience.

  • Must have prior financial industry experience in loan department.

  • Must posses a mastery of the loan process and loan documentation.

  • Must have prior supervisory experience.

Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance. Must be capable of climbing / descending stairs in an emergency situation.

Specific vision abilities required by this job include: The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation/inspection of machines and/or using measurement devices at distances close to the eyes.
